This Privacy Policy explains how we collect, use, disclose, and protect personal information, and the rights and choices available to you.
This Privacy Policy applies to DukeTalent.io, connect.DukeTalent.io, and other websites, applications, forms, communications, and services that link to or reference it (collectively, the "Services"). It applies to candidates, prospective candidates, client contacts, prospective clients, and visitors to our Services.
1.Personal Information We Collect
The personal information we collect depends on how you interact with DukeTalent and may include the following.
Information You Provide to Us
Candidates and prospective candidates. We may collect information such as:
- Name and contact information, including email address and telephone number
- City, state, country, and other general location information
- Resume, portfolio, work samples, and professional profile information
- Employment history, job titles, employers, responsibilities, skills, and experience
- Education, qualifications, licenses, and certifications
- Compensation expectations and employment preferences
- Availability and preferences regarding roles, studios, work arrangements, and locations
- Whether you are authorized to work in a given location, where relevant to a potential position
- Information you provide during interviews, screening calls, applications, questionnaires, or other communications with us
Clients and prospective clients. We may collect information such as:
- Name, title, and business contact information
- Studio or company information
- Hiring needs, role descriptions, compensation ranges, and candidate preferences
- Communications and information relating to searches, candidates, placements, contracts, and payments
Other information you provide. We may also collect information when you contact us, schedule a meeting, subscribe to communications, request information, purchase or use a service, or otherwise interact with DukeTalent.
Information We Obtain from Other Sources
Recruiting involves identifying and contacting professionals who may be relevant to employment opportunities, including individuals who have not created a DukeTalent account or applied for a position.
We may collect professional information from sources such as:
- Publicly available professional profiles and websites
- Studio, employer, and portfolio websites
- Professional networking platforms
- Industry publications and directories
- Referrals
- Clients, candidates, and professional contacts
- Service providers and third-party data sources
This information may include your name, professional contact information, employer, job title, employment history, professional experience, education, portfolio information, general location, and other information relevant to recruiting and hiring.
We may combine information obtained from these sources with information you provide directly to us.
Information Collected Automatically
When you use our online Services, we and our service providers may automatically collect certain information, including:
- IP address
- Browser and device information
- Operating system
- Pages viewed and interactions with the Services
- Referring and exit pages
- Approximate location derived from an IP address
- Dates and times of visits
- Cookie and similar technology identifiers
Communications, Calls, and Meetings
We may maintain records of emails, messages, meetings, interviews, and other communications with you.
Some calls or meetings may be recorded or transcribed for recruiting, documentation, quality, training, or note-taking purposes. We will tell you at the start of a call or meeting if it is being recorded or transcribed, and we will obtain any consent required by applicable law.
2.How We Use Personal Information
We may use personal information to:
- Provide, operate, maintain, and improve the Services
- Create and maintain candidate and client profiles
- Identify potential candidates and employment opportunities
- Evaluate professional experience, qualifications, preferences, and potential fit
- Match candidates with potential employers and opportunities
- Present candidates to clients for consideration
- Communicate with candidates about roles and opportunities, including opportunities for which they did not directly apply
- Communicate with studios and other employers regarding hiring needs and potential candidates
- Facilitate introductions, interviews, offers, placements, and other recruiting activities
- Provide career advising, coaching, or other services requested by you
- Manage client relationships, contracts, billing, and payments
- Send administrative, transactional, recruiting, and other communications
- Analyze use of and improve the performance, functionality, security, and effectiveness of our Services
- Prevent fraud, misuse, security incidents, and other unlawful activity
- Maintain business and transaction records
- Establish, exercise, or defend legal claims
- Enforce our agreements and policies
- Comply with applicable laws, regulations, legal processes, and governmental requests
We may also use information for other purposes disclosed to you at the time of collection or with your consent where required.
3.Recruiting, Matching, and Employment Decisions
DukeTalent provides recruiting and talent-matching services. We evaluate professional information to identify candidates and opportunities that appear potentially relevant to one another.
DukeTalent may use software, search tools, databases, algorithms, or artificial intelligence-assisted tools to organize information, search candidate data, assist with research, identify potential matches, summarize professional information, or otherwise support our recruiting team.
DukeTalent personnel remain involved in our recruiting process. We do not rely solely on automated processing to make final hiring decisions on behalf of employers. Where applicable law imposes additional requirements on the use of automated employment decision tools or similar technologies, we will comply with those requirements.
DukeTalent does not make the ultimate hiring decision for client employers. Hiring decisions, employment terms, interviews, and offers are determined by the applicable employer.
DukeTalent does not guarantee that any candidate will receive an interview, offer, placement, or employment, and does not guarantee that any employer will identify or hire a candidate for any role. Creating a profile, communicating with DukeTalent, or applying for an opportunity does not create an employment relationship between you and DukeTalent. Additional terms governing use of the Services are set out in our Terms of Service.
4.How We Disclose Personal Information
We may disclose personal information in the following circumstances.
Clients and Prospective Employers
We may provide candidate information to studios and other employers in connection with recruiting and potential employment opportunities. Information may include professional profiles, resumes, portfolios, work samples, employment history, qualifications, compensation expectations, availability, and other information relevant to evaluating a candidate.
As a general practice, we confirm a candidate's interest before presenting identifiable candidate materials to a client for a specific opportunity. There may be circumstances in which we discuss potential candidate profiles or qualifications on a preliminary or anonymized basis before obtaining that confirmation.
Candidates
We may provide candidates with information about clients, studios, positions, compensation, responsibilities, and other information relevant to potential employment opportunities.
Service Providers
We may disclose personal information to vendors and service providers that perform services on our behalf, such as providers of:
- Website and cloud hosting
- Databases and applicant or customer relationship management systems
- Email and communications services
- Scheduling and videoconferencing
- Analytics
- Recruiting and sourcing technology
- Artificial intelligence and productivity tools
- Payment processing
- Data security and fraud prevention
- Professional services
These providers may process personal information as necessary to perform services for us, subject to applicable contractual and legal requirements.
Legal, Safety, and Compliance Purposes
We may disclose information where we reasonably believe disclosure is necessary to comply with applicable law, regulation, subpoena, court order, legal process, or governmental request, or to investigate or protect against fraud, security threats, violations of our agreements, or threats to the rights, property, or safety of DukeTalent or others.
Business Transactions
Personal information may be disclosed or transferred in connection with an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or other corporate transaction involving all or part of DukeTalent.
5.Sale and Sharing of Personal Information
DukeTalent does not sell personal information, including candidate profiles, resumes, and portfolios, and does not share personal information for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act. We have not sold or shared personal information in the preceding 12 months.
If our practices change, we will update this Privacy Policy and provide any rights or mechanisms required by applicable law.
6.Cookies and Similar Technologies
We and our service providers may use cookies and similar technologies to operate the Services, remember preferences, maintain security, understand how visitors interact with the Services, and measure and improve performance.
Most browsers allow you to block or delete cookies through browser settings. Disabling certain cookies may affect the availability or functionality of portions of the Services. Depending on where you live, you may have additional choices regarding cookies or similar technologies.
7.Data Retention
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing recruiting services, maintaining professional relationships, identifying future employment opportunities, operating our business, complying with legal and contractual obligations, resolving disputes, and enforcing agreements.
Because recruiting relationships may continue over multiple years, candidate professional information may be retained after a particular search or application has ended so that we can consider and contact candidates regarding future opportunities.
In determining appropriate retention periods, we consider factors including:
- The nature and sensitivity of the information
- The purposes for which it was collected
- Whether an ongoing recruiting, client, contractual, or business relationship exists
- Whether the information remains reasonably useful for future recruiting activity
- Applicable legal, accounting, tax, and regulatory requirements
- The need to establish, exercise, or defend legal claims
- Security and fraud-prevention considerations
When personal information is no longer reasonably necessary for these purposes, we may delete, de-identify, or aggregate it, subject to applicable law.
You may request deletion of your personal information as described in Section 9.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
No method of transmission or storage is completely secure, and we cannot guarantee the absolute security of personal information.

These rights are subject to exceptions and limitations under applicable law.
You may update certain profile information through your DukeTalent account where that functionality is available.
To exercise another privacy right, contact us using the information in Section 15. We may need to verify your identity before fulfilling a request. We will respond within the period required by applicable law.
We will not discriminate against you for exercising privacy rights provided by applicable law.
10.Recruiting and Marketing Communications
We may contact candidates and prospective candidates regarding employment opportunities that we believe may be relevant based on their professional background, including where we obtained professional contact information from a public or third-party source.
You may opt out of recruiting or marketing emails at any time by using the unsubscribe mechanism provided in the communication, where available, or by contacting us.
Opting out of recruiting or marketing communications does not prevent us from sending non-promotional communications concerning an account, active application, placement, transaction, contractual relationship, security matter, or other service you requested.
11.California Privacy Notice
This section applies to California residents to the extent the California Consumer Privacy Act, as amended ("CCPA"), applies to DukeTalent's processing of their personal information.
Depending on our interactions with you, we may collect the following categories of personal information:
Identifiers: name, email address, telephone number, IP address, account information, and similar identifiers.
Professional or employment-related information: employer, job title, work history, experience, skills, qualifications, resume, portfolio, references, employment preferences, compensation expectations, and whether you are authorized to work in a given location.
Internet or other electronic network activity: browser information, device information, pages visited, and interactions with our Services.
Geolocation information: general location information you provide or approximate location inferred from an IP address.
Education information: schools attended, degrees, qualifications, and other educational history.
Commercial information: records relating to services purchased from or transactions with DukeTalent.
Inferences: assessments or conclusions concerning potential professional interests, employment preferences, experience, or suitability for potential opportunities.
We do not seek to collect sensitive personal information as defined under the CCPA. If you voluntarily provide such information, we use it only for purposes permitted by applicable law.
We collect and use these categories for the business and commercial purposes described in Section 2, including providing recruiting services, identifying and evaluating potential matches, communicating with candidates and clients, operating and securing our Services, maintaining business records, and complying with legal obligations.
We may disclose these categories to the recipients described in Section 4, including client employers when relevant to recruiting activities and service providers that perform services on our behalf.
We do not sell personal information and do not share personal information for cross-context behavioral advertising, as those terms are defined by the CCPA, and have not done so in the preceding 12 months.
Subject to applicable exceptions, California residents have the right to:
- Know the categories and specific pieces of personal information we have collected about them
- Know the categories of sources from which personal information was collected
- Know our purposes for collecting, using, or disclosing personal information
- Know the categories of third parties to whom personal information is disclosed
- Request deletion
- Request correction
- Obtain a copy of certain personal information
- Opt out of the sale or sharing of personal information if such activity occurs
- Receive equal service and treatment when exercising CCPA rights
An authorized agent may submit a request on your behalf where permitted by law. We may require verification of your identity and the agent's authority before processing the request.
The categories of personal information described above are retained according to the criteria described in Section 7 and only for as long as reasonably necessary and proportionate to the purposes for which the information was collected or processed, subject to applicable legal requirements.
California residents may submit privacy requests using either method described in Section 15.
12.Information About Individuals Who Have Not Registered With DukeTalent
Because candidate sourcing is part of our recruiting business, we may maintain professional information about individuals who have not created an account with DukeTalent or directly provided their information to us.
This information may come from the public and third-party sources described in Section 1 and may be used to identify individuals who could be relevant to employment opportunities.
If we contact you based on information obtained from another source, you may ask us to correct or delete the information we maintain about you or ask us to stop contacting you, subject to applicable law and legitimate recordkeeping requirements.
13.International Users
DukeTalent is based in the United States. If you interact with our Services from outside the United States, your personal information may be transferred to, stored in, and processed in the United States and other jurisdictions where DukeTalent or its service providers operate.
Those jurisdictions may have privacy and data protection laws that differ from the laws where you live.
Where applicable law requires a particular legal basis, safeguard, notice, consent, contractual mechanism, or other requirement for international processing or transfers, we will process personal information in accordance with those requirements.
14.Children
The Services are intended for adults seeking or providing professional and employment-related services and are not directed to children under 18.
We do not knowingly collect personal information from children under 18 through the Services. If you believe a child has provided personal information to us, please contact us so that we can take appropriate action.
